Scheduling Visits in the Schedule App

Scheduling Estimate visits and Work Orders.

A Visit represents a scheduled appointment tied to a Method Job. There are two types of Visits:

  1. Estimate Visit: Used when a technician must attend the job site to determine scope, cost, or required work before a final price is provided.

  2. Work Order: Used when actual work is being performed.

This article focuses only on visit creation and scheduling behavior β€” not invoicing.


Estimate Visit

A dispatcher will create an Estimate Visit when:

  • The scope of work is unknown.

  • A technician must inspect the site before quoting.

  • Time and labor requirements need to be assessed.

There are three ways to create an estimate visit:

  • From a newly created Method job request

  • Within an Estimate linked to a Method Job

  • Within the Schedules App

Visit Creation Requirements

You will only be able to create an Estimate visit when:

  • One Method job record exists (any job).

  • The estimate is not already linked to another visit. Only one visit is allowed for an estimate.

  • The estimate is linked to a Method Job (If created from the Schedules app, a Method Job will be created).


Create an Estimate Visit when creating a new Method Job

  1. Create a βŠ• New Job.

  2. Fill out the Job request details, and when the required fields have been filled, toggle Estimate visit needed to on.

  3. The primary action button changes from Save to Save and Schedule Visit. Click this button.

  4. This will open up a modal to Create Estimate Visit.



Create an Estimate Visit from a Method Job's estimate

  1. Select a Method Job within the Method Jobs app.

  2. Within the app ribbons, click the Estimates tab and either select the estimate or create a new estimate.

  3. In the estimate, scroll down and toggle Estimate visit on.

  4. When you Save the etimate, the Create Estimate Visit modal will show.


Create an Estimate Visit in the Schedule app

  1. Open the Schedule app and Add an event or click and drag a time range on the day the visit should be scheduled.

  2. After selecting a time, the Create Visit modal will show. Make sure Estimate visit is selected.

  3. Fill in the Customer details, and then continue below for more information on this modal.

Depending on how you initiated the Estimate Visit, the modal is similar for all cases. Fill in the following fields:

Estimate #

Leave blank for QuickBooks to auto-calculate (if custom transaction numbers are disabled in QBO).

Job

If creating a visit from the Schedules App, select the job the visit is associated with. If left blank, a new Method job will be created.

Status

Select the status for the visit:

  • Scheduled

  • Scheduled (reschedule pending)

  • Rescheduled

  • Cancelled

  • Unscheduled

  • In progress

  • Completed

Start date & time

Start date & time for the visit

Duration (hrs)

Duration of visit in hours

Schedule later

When checked, the Status will change to Unscheduled, and the visit will need to be scheduled in the Schedules App.

Assignee

Method User technician assigned to the visit.

Instructions

Instructions for the visit.

Attachments

File attachments available for the technician.

After entering details:

  • Click Save to create the Visit.

  • You may optionally Send the visit notification to the customer.


Work Orders

A Work Order is also considered a visit, and represents the actual work performed for a Method Job. A Method Job may have only one Work Order, but may require multiple Work Orders for phased work, follow-up work, or additional work discovered.

Each Work Order:

  • Has independent line items.

  • Has independent completion status.

  • Can be invoiced individually or combined

There are multiple ways to create a Work Order. Although you can create a Work Order using the Work Orders app, it is best practice to create the Work Order via:


Create a Work Order from a Method Job

  1. Create or select a Method Job within the Method Jobs app.

  2. In the app ribbons, click the Work Orders tab and create a new Work Order.

  3. Either

This work order will show up in the Schedule App and also be linked to the current Method Job.


Creating Work Orders from the Schedule App

The Schedule app is fully integrated with Work Orders.

  1. Open the Schedule app and Add an event or click and drag a time range on the day the Work Order should be scheduled.

  2. This will open the Create Visit modal. Enter in the Customer details, and then click WO Visit.

  3. Fill in the below fields.

Parameters

Linked Job #

Select the Method job the Work Order should be attached to. It is best practice to always have Work Orders linked to a Method Job.

Status

Select the status for the visit:

  • Scheduled

  • Scheduled (reschedule pending)

  • Rescheduled

  • Cancelled

  • Unscheduled

  • In progress

  • Completed

Start date & time

Start date & time for the visit

Duration (hrs)

Duration of visit in hours

Schedule later

When checked, the Status will change to Unscheduled, and the visit will need to be scheduled in the Schedules App.

Assignee

Method User technician assigned to the visit.

Instructions

Instructions for the visit.

Attachments

File attachments available for the technician.

Will this work order be invoiced?

Set whether or not the Work Order should be invoiced.

After entering details, click Save.


Visit Status Lifecycle

Visits can move through different statuses depending on actions.

Common states observed:

  • Scheduled

  • Scheduled (Reschedule pending)

  • Completed

  • Cancelled

Status updates immediately reflect on the calendar.
