When a zap triggers, you can set it to do a number of Method Actions. 

There are two types of actions Method you can do:

  • Search Actions - Actions that will search for and return a record (if it exists) from your Method account.
  • Create Actions - Actions that will create a record within in your Method account.

This article will detail the search actions and list out the information each action expects in order to successfully complete.

Method Search Actions 

These actions are used to search for records in Method:

  • Find Contact - Finds an existing contact by email or the entity's full name. If none are found, you can choose to create one.
  • Find Customer or Customer Lead - Finds an existing customer or customer lead by the full name or the email. If none are found, you can choose to create one. 
  • Find Vendor - Finds an existing vendor by full name or email.

If the record is found, it will return information which can be used in later actions. For example, if you need to create an opporunity, you are required to have the contact's Record ID. If you have an email, you can first search Method to get the contact's Record ID.

Note that in the case of multiple results, the first result found will be selected.

Finding a Contact via Zapier

First, you need to specifying the Field, which tells the action how you wish to search:

  • Entity Full Name - Search by using the unique name found in QuickBooks. 
  • Contact Name - Search by using the contact's name. 
  • Email - Search by using the email. 
  • Use a Custom Value (advanced) - If you know the field you wish to search through, you can specify it here. It must be spelled exactly as found within Method.

Once you specified how you wish to search, you then enter the information into the Value dropdown. 

The below example searches for a contact using an email address provided from a Gmail trigger.

If found, the following data is available for use in later actions:

  • Name
  • FirstName
  • CompanyName
  • LastName
  • Entity
  • Phone
  • id - This will be the contact's Record ID
  • Email

If a contact is not found, then you have the option to create one by checking Create Method CRM Contact if it doesn't exist yet.

This contact, however, must be added to an already existing customer or vendor. When creating a contact this way, you will need to provide the following information:

  • First Name (required)
  • Last Name
  • Entity Full Name (required) - This is the unique name of the customer or vendor.
  • Email
  • Phone
  • Custom Fields

Finding a Customer or Lead via Zapier

Once you specified how you wish to search, you then enter the information into the Value dropdown. The below example searches for a customer or lead using an email address provided from a Gmail trigger.

If the customer or lead is found, the following data is available for use in later actions:

  • FirstName
  • LastName
  • Name - Unique name found in QuickBooks
  • CompanyName
  • ID - RecordID of the customer or Customer Lead
  • Phone
  • Email
  • CreatedDated
  • BillAddressAddr1
  • BillAddressAddr2
  • BillAddressAddr3
  • BillAddressCity
  • BillAddressState
  • BillAddressCountry
  • BillAddressPostalCode

If nothing is not found, then you have the option to create one by checking Create Method CRM Customer if it doesn't exist yet.

When creating a customer or lead this way, you will need to provide the following information:

  • First Name (required)
  • Last Name
  • Name (required) - The unique name which will be shown in QuickBooks
  • Company Name
  • Phone
  • Email
  • CreatedDated
  • Billing Address Line 1
  • Billing Address Line 2
  • Billing Address Line 3
  • Billing City
  • Billing State/Province
  • Billing Country
  • Billing Postal Code - Or Zip Code
  • Is Customer Lead? 
  • Custom Fields

Finding a Vendor via Zapier

First, you need to specifying the Field, which tells the action how you wish to search:
