Recurring Activities

Set an activity to repeat over a period of time.

It is common to set up an activity to recur: to repeat on a regular basis. For example, you may want to schedule a bi-weekly meeting with a customer. In Method, this is known as a recurring activity, and it is set up within the activity itself by changing its frequency.


Create a Recurring Activity

  1. Create an activity as you normally would. 

  2. Under Frequency, select the pencil icon by the phrase Does Not Repeat.

  3. A panel on the right will show that allows you to configure the Recurrence. Select one of the four options of Daily, Weekly, Monthly, and Yearly.

     

  4. Configure the recurring activity based on the choice you made.

    • Weekly: Under Every, type in how often it occurs (does it happen every week, every two weeks, etc) and then choose one or more days it may occur on.

    • Monthly: Under Every, type in how often it occurs (does it happen every month, every two months, etc) and then choose the day of the month it occurs on.

    • Yearly: Under Every, type in how often it occurs (does it happen every year, every two years, etc) and then choose the date of the year it occurs on.

  5. After that, configure the start and end times for the recurrence:

    • Start Date: When to start the recurrence

    • From: the time to start

    • Until: the time to end

    • End Date: When to stop the recurrence. This is set to a year in advance by default.

    • Create occurrences for dates in the past: If you create a start date and time which is before the current date and time, you will need to check this checkbox to create activities for those dates in the past.

  6. Select Done and this will close the window but does NOT save the activity. 

  7. The Frequency of the activity will be updated to show how the activity repeats.

    In the above image, the activity is repeating every week on Friday until April 21, 2024. Note: The start and end times of this activity is NOT the start and end time of each occurrence.

  8. When you are happy with the activity, click Save & Back. All the recurring activities will be created and the current activity you are working on will be the primary template for them.


Update Every Recurring Activity

Recurring activities are based off of a template which is created when you first create a recurring activity. This template is called the Schedule of Recurring Activities.

If you wish for an edit to affect ALL the occurrences, and not just one occurrence, you will need to access and update this template schedule.

Note: There is a difference between updating just one occurrence, and having an update apply to all occurrences. You will need to make sure you are updating the correct activity before saving.

  1. Find the recurring activity within your activities list and select it. In the below image, there are four activities belonging to a daily recurrence. Select any one of them.

  2. Once you select an activity, you will open up the single instance of the recurrence. This is not the primary template schedule though. You can tell it is a single instance because at the top right, it will say Recurring Activity. This is NOT the activity to update.

  3. Scroll down and under Frequency, find and click Go to schedule of recurring activities

  4. This will take you to the primary template for the activity recurrences. You will see on the right it now says Schedule of Recurring Activities and the reference number will change as well. This is the activity you will need to modify.

  5. Feel free to make any changes to the frequency, the notes, the tags, etcetera.

  6. Scroll down further and you will find a list of all the recurring activities attached to this primary template schedule. Any changes you make will affect all of these activities, except for the ones that have been modified (see below).

    • Selecting an activity in the grid will take you to that individual activity recurrence.

    • Clicking the trashcan will delete that one recurrence.

    • The Modified column indicates if an activity recurrence has been edited and orphaned from the primary template schedule. Any changes you make to this primary schedule of recurring activities will not affect any modified (orphaned) activities.

  7. Once you are finished with your changes, you can save the activity. 

    • Clicking Save & Back will update all the activity recurrences with the changes you made, except for any recurrence marked as modified. 

    • Clicking Delete will delete all of the recurring activities. It will also delete the activities that have been marked as modified. 


Update Just One Activity Occurrence

If you wish to edit just one of the recurring activities, (for example, if you need to change the time), but not any of the other occurrences in the schedule, select it in the activities list and make the change.

Note: There is a difference between updating just one occurrence, and having an update apply to all occurrences. You will need to make sure you are updating the correct activity before saving.

  1. Find the recurring activity within your activities list and select it. In the below image, there are four activities belonging to a daily recurrence. Let's say the time on the first activity on the list needs to be changed.

  2. Once you select an activity, you will open up the single instance of the daily recurrence. On the right, it will be titled Recurring Activity. This is the activity you will make updates to.

  3. Once you've made your changes, click Save & Back

This activity now has become orphaned from the original recurrences. That means any changes made to the original primary template Schedule of Recurring Activities will not affect this orphaned activity.
